Exporting data to CSV
Four separate exports, in four different places. Each one gives you what's currently on screen — so filter first, then export.
The four exports
| Where | What you get | Plan |
|---|---|---|
| Contacts → Export | Every contact currently listed: name, phone, email, address, tags, notes, your custom fields, first and last contact dates, and how many calls they've made. | Every plan |
| A contact's page → Actions → Export | That one contact, plus their full call history with outcomes and durations. | Every plan |
| Appointments → Export | The appointments currently listed, with their status, date and time, service and contact. | Every plan |
| Analytics → Export | One file combining your summary numbers, your daily call series and your peak-hours grid, each as its own labelled section. | Full analytics — Growth and Scale |
Analytics also offers a PDF export alongside the CSV, for when you want something to send rather than something to work with.
Exports follow your filters
This is the part worth knowing, because it's easy to get a smaller file than expected.
- Contacts — exports what your search box has narrowed the list to. Clear the search first if you want everyone.
- Appointments — exports the active status tab and any filters. Sitting on "Upcoming" gives you upcoming only; switch to "All" for the lot.
- Analytics — exports the date range currently selected. On Full analytics that can be a custom range; on Basic it's the last 30 days.
Very large lists are capped
The contacts and appointments exports each stop at 10,000 rows. Real accounts are nowhere near that — but if you think you're close, export in filtered batches rather than all at once.
What isn't in an export
- Full call transcripts. Call history in an export gives you outcome, date and duration — not the text of what was said. Read those on the call detail page, or have them emailed to you as they happen.
- Recordings. Download audio individually from a call's own page, and remember they're deleted after 60 days. See Recordings & transcripts.
- Invoices. Those live on the billing page — open Billing in the sidebar.
Opening the file
Plain CSV, which opens directly in any spreadsheet app. The analytics export deliberately uses one file with labelled sections and blank rows between them rather than forcing three differently-shaped datasets into one flat table — most spreadsheet apps open it exactly as intended.
If you need a continuous feed
Exports are point-in-time. If you want data arriving somewhere else as it happens rather than pulling it manually, that's what outbound webhooks are for — new contacts, finished calls and appointment changes, pushed to any tool that accepts a webhook, on the Scale plan.
