Email notifications overview

Talkybara emails you about three different kinds of thing. Only one of the three has toggles — and that's on purpose.

Always sent — you can't turn these off

Things that block you from something important, or cost you money if you miss them.

These go to the email address on your account. Change it in Account Settings → Profile.

Call transcript emails — on by default, adjustable

After a call finishes, you get an email with the summary and full transcript. By default this fires for the three outcomes worth knowing about immediately:

  • Booked
  • Transferred
  • Callback Requested

Turn on "Email me every call transcript" in Account Settings → Notifications to get one for every call instead — including Completed and Abandoned ones where there's nothing to act on.

Think about volume before switching that on

The default set is calls that need you. Every call includes the wrong numbers, the misdials and the "what time do you close" calls. Useful for a week while you're tuning your agent; less so as a permanent setting once you're busy.

Weekly summary — off by default

A once-a-week recap: how many calls came in, and how many turned into bookings. Opt in from the same Notifications tab.

Good middle ground if you've turned transcript emails down to the defaults but still want a regular sense of the shape of things without opening the dashboard.

Two one-off celebration emails

Sent once each, ever, and then never again:

  • Your first after-hours call answered — the first time your agent handles a real call outside your business hours. Usually the moment the product clicks.
  • Your first appointment booked — whether your agent booked it on a call or you added it from the dashboard.

Where they come from

All Talkybara email comes from a Talkybara address. If you filter or whitelist by sender, allow mail from our domains so the ones you can't turn off — a failed payment, a password reset — don't end up in spam.

If you're not receiving something you expect, check that the email on Account Settings → Profile is the one you're watching. That's the single address everything goes to.

Other ways to be told

Email isn't the only channel. A one-line text can go out after every call (see Post-call SMS summaries), and on the Scale plan outbound webhooks can push events straight into whatever tool you already work in.
