Managing appointments from the dashboard

Everything your agent books lands on the Appointments page, alongside anything you add yourself. Available on every plan, with or without a connected calendar.

Two views

Appointments in the sidebar, with a List View / Calendar View toggle at the top.

  • List View — filterable and searchable, with status tabs across the top: All, Upcoming, Completed, Canceled and No-show.
  • Calendar View — the same appointments laid out by date, for when you want to see shape rather than detail.

Each view keeps its own filters, so switching between them doesn't lose your place.

Booking one yourself

+ New Appointment opens a form for a caller who rang you directly, walked in, or booked some other way. Pick the contact (or add a new one), a date and time, a service, and a duration.

Durations offered here are 15, 30, 45, 60, 90 and 120 minutes, independent of your services catalog — so you can book something that doesn't match a defined service without having to define one.

Manual bookings don't check your availability rules

Booking by hand is you overriding your own rules on purpose — it won't stop you booking outside business hours, inside a blackout period, or inside your minimum notice window. What it does still enforce is overlap: you can't double-book a slot that already has an appointment in it, whichever way it got there.

Changing an existing one

Open an appointment to get its detail panel:

RescheduleMoves it to a new date and time. Overlap is still checked, so you can't drop it on top of another appointment.
CancelMarks it canceled and frees the slot for new bookings. It stays in your history under the Canceled tab.
Mark as no-showFor someone who didn't turn up. Keeps the record honest and separates it from a real cancellation in your history.
Change serviceCorrects what was booked when the agent matched the wrong thing, or the job changed.
NotesA free-text field for anything worth remembering about this specific appointment.
Delete permanentlyRemoves the record entirely. Prefer Cancel or No-show — those keep the history, this doesn't.

With Google Calendar connected, rescheduling and cancelling update the mirrored Google event rather than leaving a stale duplicate behind.

Where each appointment came from

Appointments booked by your agent carry the call they came from, so you can open the transcript and see exactly what the caller asked for. Ones you added by hand simply don't have that link.

A contact's own page also lists their appointments, with a "Book New Appointment" button pre-filled with their details — usually quicker than starting from this page. See Contacts / mini-CRM.

Exporting

The Export button produces a CSV of the appointments currently shown, respecting the status tab and filters you have applied. See Exporting data to CSV.

If your calendar connection has a problem

A notice appears at the top of this page when a previously working Google connection can't be refreshed — it means calendar data on screen may be incomplete, and points you at reconnecting. There's no prompt asking you to connect one in the first place; that's an optional setting, not something this page nags about.
